Privacy Policy

Cleared Technologies Ltd ("Cleared", "we", "us") provides a WhatsApp-based invoicing tool for self-employed people in the UK. This policy explains what personal data we collect, why, how long we keep it, and the rights you have over it. It applies to anyone who uses Cleared (a "trader") and, where relevant, to the clients a trader invoices through Cleared.

We are the data controller for the personal data described in this policy. If you have any questions, contact us at contact@cleared.ltd.

1. Who this applies to

If you sign up to use Cleared, you are a trader and Cleared is your invoicing tool. If a trader sends you an invoice or quote through Cleared, you are a client: we process your name, email address and (where given) your billing address solely to generate and send that invoice or quote on the trader's behalf. We do not market to clients and clients do not have a Cleared account.

3. Why we process it, and our legal basis

  • To provide the service (parsing your messages into invoices and quotes, generating PDFs, sending them to your clients, creating payment links) — necessary to perform our contract with you.
  • To process payments, both your subscription to Cleared and the payments your clients make to you — necessary to perform our contract with you, carried out by Stripe as described below.
  • To run your free or paid tier correctly (counting invoices, billing your subscription) — necessary to perform our contract with you.
  • To keep the service secure and working (debugging, preventing abuse) — our legitimate interest in operating a reliable service.
  • To contact you about your account (service updates, billing issues) — necessary to perform our contract with you, or our legitimate interest in keeping you informed.
  • To meet our legal obligations, for example tax and accounting record-keeping.

We do not sell personal data, and we do not use trader or client data to train AI models.

4. How Cleared actually works (and what that means for your data)

When you send a WhatsApp message describing a job, it is processed by our AI service to extract the invoice or quote details. A PDF is generated, and the invoice or quote is emailed to your client via our email delivery service, along with a payment link created through Stripe. All of this happens automatically once you confirm an invoice or quote is ready to send — nothing goes to your client without you reviewing and approving it first.

5. Who we share data with

We use a small number of trusted third-party service providers to operate Cleared, covering areas including AI-powered message processing, payment processing, email delivery, database hosting, application infrastructure, and messaging delivery. We do not sell or rent personal data to any of these providers beyond what is strictly necessary for them to provide their service to us.

Payment processing for both your Cleared subscription and your clients' invoice payments is handled by Stripe, one of the world's most widely used payment platforms. Stripe processes card details directly and we never have access to your clients' card information. Stripe's privacy policy is available at stripe.com/privacy.

Some of our service providers may process data outside the UK, including in the United States. Where that happens, we rely on the UK's recognised data transfer safeguards (such as the UK International Data Transfer Addendum or an adequacy decision) to ensure your data stays protected to UK standards.

We may also disclose data where required by law, for example to comply with a court order, or to protect the rights, property or safety of Cleared, our users, or others.

6. How long we keep data

We keep invoice and quote records for as long as your account is active and for a reasonable period afterwards, to meet UK tax and accounting record-keeping obligations (HMRC generally requires business records to be kept for at least six years). If you close your account, we will delete or anonymise personal data that we no longer need to keep for legal or accounting reasons. The text of WhatsApp messages used to generate an invoice or quote is not retained longer than needed to produce that invoice or quote and is not stored verbatim once processed.

7. Your rights

Under UK data protection law, you have the right to:

  • Ask us what personal data we hold about you, and get a copy of it
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data, where we are not required to keep it for legal reasons
  • Ask us to restrict or object to certain processing
  • Ask for your data in a portable format
  • Withdraw consent at any time, where we rely on consent

To exercise any of these rights, email contact@cleared.ltd. We will respond within one month. If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

If you are a client who has been sent an invoice or quote through Cleared and want to exercise these rights, please contact the trader who invoiced you in the first instance, as they control what client data is submitted to Cleared. You can also contact us directly and we will assist.

8. Keeping data secure

We use industry-standard measures to protect personal data, including encryption of data in transit, access controls on our systems, and working only with providers who maintain appropriate security standards. No system is completely secure, but we take reasonable steps to protect your data and to detect and respond to any incident promptly.

9. Children

Cleared is a business tool intended for adults operating as self-employed traders. It is not directed at, and we do not knowingly collect data from, children.

10. Changes to this policy

We may update this policy from time to time, for example if we add a new feature or change a service provider. We will update the date at the top of this page when we do. If a change is significant, we will let you know via WhatsApp or email.
